Tired of waiting on hold to speak to dispatch? RCTA is officially implementing an Automated Aissistant to help wit h your in county transportation needs.
Schedule, cancel, find out when your trip is without having to wait.
Scheduling is limited to a 2 hour minimum window with the assistant. If the assistant is unable to help you it will sned you to the next available dispatcher.
Premium sservice will not be eligible for use of the Automated Assistant and must go thorugh dispatch.
Tips and Tricks for using the Automated Assistant
Please be aware that the Automated Assistant is here to help with your in county transportation needs. Out of county non-emergency medical transportation and other premium trips must select option 2 from the phone menu to speak directly with a mobility representative.
The assistant can schedule a trip request so long as you are scheduling over one hour from the time you want to schedule your trip. It can also cancel rides so long as you are cancelling at least one hour prior to what your trip was scheduled. Lastly, It can also let you know when you are scheduled for or confirm future trips.
Note: The assistant is only able to take the trip information and submit it to dispatch who will then reach back out to confirm your trip details and the time window that was dispatched to the driver.
It is going to ask you if your ride is a pick up or drop off priority. Meaning if you need to be dropped off at a certain time for an appointment then your trip would be a drop-off priority. If you need to be or would like to be picked up by a certain time that would be a pick up priority.
Note: If you have to be somewhere by a certain time it is better to schedule as a drop off priority so dispatch knows that you must be there by that time otherwise if you schedule for a pick up priority your drop off may not be scheduled by the time you need.
The assistant uses two factor verification to verify your identity. It will be very important that you have your phone number and birth date updated with dispatch. When the AI asks for either your birth date or phone number be sure to say which you are giving so it understands.
If you need to schedule more than one rider, please do one at a time. Once the first rider has been scheduled and the assistant asks if there is anything else it can do for you, say add another rider and provide the information for the rider and trip when prompted. If the additional passenger is an aid you do not have to add another passenger you just have to say yes when asked if any attendants are accompanying the rider. Children over the age of three must also be added as additional riders. When the assistant asks if there are any children riding, you would say no. Once the trip information is booked for the first rider then say add another rider and provide the rider's information when prompted.
If you are requesting your trip over the one-hour minimum and the assistant says that it can not do the trip because it is less than the hour minimum you can tell the assistant that it is over an hour and the assistant should recalculate and allow for you to schedule.
Note: If you are scheduling very close to the hour, by the time you give all your information to the assistant the hour may have expired and it may not process your request. In additon, if you need to be somewhere within that hour the system will recognize that your pick up would need to be within an hour and will let you know that the trip can not be scheduled.
Please be aware that if you are having issues with scheduling with the assistant, it will try every means it has to help you but if it is unable to it will offer to send you over to a representative to help you. When it transfers you to a dispatcher, please remember that you will be pushed to hold for the next available dispatcher. Please do not hang up, instead if you would prefer not to wait, please set up either for a call back or leave a voicemail.
Note: Callbacks are preferable if you would like to keep your place in line as the system will automatically dial your number when your turn comes up. If you need to cancel a ride and do not want to miss the required minimum time window to cancel, please leave a message and dispatch will go by the time stamp left for the voicemail to determine if you have called in enough time.
Please bear in mind that the Automated Assistant is still new and under a trial period. We understand that it may at times be frustrating and we ask that you please do not take that frustration out on our staff. Verbal abuse of our staff will result in your call being disconnected and your rides not being scheduled. Depending on the extent of the abuse, RCTA reserves the right to suspend a rider's service for a period of time determined by management and depending on circumstances abuse may also be reported to local and federal authorities.
